Data Protection Act issues

To meet the requirements of the Data Protection Act there have been several changes made to the JVCS Booking Service which will take effect on Wednesday 18/02/04 09:00.

In order to use the service you must read the Terms &Conditions displayed when you first login and you will be asked to accept them. If you accept the Terms & Conditions you will be logged in as usual and you will not be asked again. If for any reason you do not accept the Terms & Conditions you will be given the opportunity to deregister yourself from the JVCS Booking Service. Any videoconference bookings that you have made in the past will be reassigned to the JVCS system manager account. It is also possible to deregister yourself at any time after accepting the Terms & Conditions by clicking on Your details in the menu and then clicking on the Deregister this account link at the bottom of the page.

When entering any booking you must not enter personal information into the Title or Additional information fields of the conference details as they may be visible to third parties.

When browsing the list of videoconference bookings you will only be able to see the date & time, status and venues involved in the conference unless you are the conference booker or the conference involves a venue at your organisation, in which case you will also see the conference title and reference number. Clicking on the reference number will display the details of that booking. Note that it is no longer possible to view any information about a videconference booking without logging into the service.

When viewing the details of a videoconference booking you will not see the name of the attendee or the E.164/ISDN phone number(s) for venues which are not at your organisation unless you are the conference booker or you are an administrator for the booker or that venue.
